Ability Jobs Plus: Executive Administrative Coordinator
Lutheran Family and Children’s Services of Missouri is looking for a bright, resourceful and energetic Executive Administrative Coordinator to support our CEO. As the right-hand to the CEO you will manage all aspects of the CEO’s daily activities. This position will also work closely with the Senior Leadership team to coordinate, organize and provide support to the Board of Directors and the Board Committees.
Responsibilities
• Anticipate the needs of the CEO to ensure optimal workflow and scheduling.
• Proactively manage CEO’s obligations from senior leadership staff, Board of Directors, staff, stakeholders, constituents, clients and other commitments.
• Effectively manage CEO’s day to day activities, such as calendar, travel schedule, internal and external communications, speaking engagements, event coordination, Board meetings etc.
• Prepare and compose complex correspondence, reports, letters and memorandums, forms and documents. Assure that legal documents are completed and fully executed.
• Plan, implement and manage special projects and monitor assigned budget.
• Serve as a main point of contact for Board of Directors.
• Prepare and distribute Board Reports, meeting notifications, agendas, and minutes at board meetings.
• Present a positive, collaborative open attitude in all agency relationships.
• Represent the President’s Office with discretion and in a professional manner.
• Manage the day to day operations of the front desk, including supervising the front desk staff.
• Organize and coordinate agency purchasing for cost efficiency and needs of staff.
• Coordinate arrangements for air travel, auto needs and hotel arrangements for Executive Team.
Job Requirements
Requirements:
• Bachelor’s Degree in business or related field with 4 years progressive experience supporting a Senior Executive. Two years experience supporting a non-profit Board or Board Committee.
• Required to become a Notary Public.
• Ability to type 45 wpm.
• Must maintain strict confidentiality with sensitive information.
• Advanced skills in Microsoft programs (Word, PowerPoint, Outlook and Excel)
• The individual must be able to recognize priorities and exercise independent judgement.
• Must possess a high level of professionalism.
• Superior written and oral communication skills and writing ability.
• Strong analytical skills with the ability to comprehend detailed information and communicate appropriately to various audiences.
Physical Demands:
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; climb up to 5 feet; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. The employee must occasionally lift up to 24 pounds and carry up to 24 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The employee is required to access, enter, modify, and retrieve data on a personal computer. The employee is also required to read, write, and speak the English language.
